Setting up a data retention policy for Workflows

Control how long Workflow responses are kept before they're automatically deleted.

Data retention lets you decide how long response data from your Workflows stays in Sine. Once you set a policy, any Workflow response older than the period you choose is deleted automatically.

Two things to know up front:

  • One policy covers every Workflow in your team, and only team admins can create, edit, or delete it.

  • Deletion is permanent. Once a response is removed it can't be recovered, so set your period carefully.

How retention works

When you set or change a policy, Sine compares your Workflow responses against the period you've chosen. Anything already outside the window is deleted at the next 5:00am UTC run, and after that the check runs daily, so responses are removed as they age past the limit.

For example: with a 30-day period, a response submitted 31 days ago is deleted at the next 5:00am UTC run, and every response after that is deleted the day it passes 30 days.

You can set the period from a week (7 days) up to seven years. Because deletions can't be undone, make sure your period covers everything you still need before you confirm. If in doubt, start longer and shorten it later.

Creating a retention policy

  1. In the Workflows web dashboard, click Settings in the side navigation to open the Workflows settings page.

  2. In the Data retention section, click Create retention policy.

  3. Enter a number and choose weeks, months, or years from the dropdown, then click Create policy.

  4. A confirmation modal shows when your data will be deleted. Tick the checkbox to acknowledge that deleted responses can't be recovered.

  5. Click Create policy to save.

The policy takes effect at the next 5:00am UTC run.

Editing a retention policy

  1. In the Data retention section on the Workflows Settings page, click Edit retention policy.

  2. Update the number or unit, then save.

Shortening the period can push more of your existing responses outside the window, so they'll be deleted at the next 5:00am UTC run.

Deleting a retention policy

  1. In the Data retention section on the Workflows Settings page, click Edit retention policy.

  2. In the modal, click Delete policy, then confirm.

Automatic deletions stop once the policy is removed. Responses already deleted stay deleted.
