Assets provides a complete asset management solution for tracking physical items assigned to visitors and contractors during their time on-site. Facility managers can create and maintain a centralised asset register to manage items like key sets, staff radios, access cards, safety equipment, laptops, and other resources that need to be tracked and accounted for.
Assets aims to eliminate manual logbooks and spreadsheets, reduce the risk of lost equipment, and maintain an accurate chain of custody for all physical assets distributed to your guests.
Accessing Assets
Assets are available for all sites on Medium+ plans and is currently in preview mode for all customers to try out!
Assets can be accessed from the sidebar navigation in your Core dashboard:
Click Assets from the sidebar menu
The Assets page will load a Assets and Asset types tab:
Assets - Your asset register
Asset types - Categories for organising your assets
Only admin users with Front desk & security, Site admin and Team admin permissions have access to view and assign Assets.
Asset register
The asset register displays a complete list of all your assets that are loaded into Sine.
Click on any asset to view its assignment history, including who has had the asset, when it was assigned and returned, who assigned it, and any notes from loss incidents.
From the asset history view, you can quickly navigate to a visitor's pass using the Go to pass option in the context menu.
Modifying an asset
To edit an existing asset:
From the asset register, click on an asset to view it
Click the Manage asset button
Update the asset details.
Asset type - The category this asset belongs to
Nickname - An optional friendly name to help identify the asset
Identifier - A unique ID for the asset (required)
Sites - Optionally limit the asset to selected sites
Click Save to confirm your changes
Assets that are already assigned cannot be disabled and the Asset type field cannot be modified until the asset is returned to the assignment pool.
Note: If no sites are mapped to an asset, the asset will be available for assignment at all existing and new sites.
Asset types
Asset types help organise your assets into categories. Common examples include:
Keys and key sets
Radios
Access cards
Safety equipment
IT equipment

Click the Asset types tab from the Assets page
Select the asset type you'd like to edit
Edit the asset type details
Click Save to confirm your changes
Smart assets
Smart assets are integration-connected assets that automatically provision and manage access permissions. Currently, smart assets are used exclusively for provisioning and activating physical access cards to your guests with your access control provider.
Creating assets
There are two ways to create new assets in Sine:
Method 1: Create from asset register
From the Assets page, click Add asset
Configure your asset details
Click Add to add the asset to your register
At this point, the new asset will be available for any admin to assign to guests.
Method 2: Create during check-in
When assigning an asset that doesn't already exist:
From a checked in pass, click on Assign asset
Enter the nickname you’d like to give to the asset, and select Create [Your asset name]
Complete the asset details modal and save
The asset will be created and immediately assigned to the guest.
Assigning assets to guests
Assets can only be assigned to visitors and contractors who are currently checked in.
To assign an asset:
From a checked in guests pass, click the Assign asset button
Either:
Scan the asset using a connected QR/barcode scanner, or
Search for the asset using the text input field
Select the asset from the results to assign it to the guest
The assigned asset will now appear in the pass history.
Note: Multiple assets can be assigned to the same guest if needed.
Transferring assets between guests
If you scan or search for an asset that's already assigned to another guest, the assignment modal will show the asset marked as Assigned to visitor. You can still select this asset to assign it to a different guest.
Selecting an already-assigned asset will trigger the asset conflict modal, which allows you to transfer the asset from the current guest to the new guest. This action will:
Mark the asset as returned from the guest who currently has it
Assign the asset to the new guest
Viewing asset assignment history
From the asset context menu, you can select Go to asset history to view the full register entry for that asset.
Returning assets
To mark an asset as returned:
Open the guest's pass and locate the assigned asset in the pass history
Click on the context menu for the asset, and select Mark as returned
The asset will be returned to the assignment pool and marked as available in the register.
Lost assets
Mark an asset as lost
If an asset is lost or damaged:
Click on the context menu for the asset, and select Mark as lost
Optionally add any notes
Click Confirm
The asset will be removed from the assignment pool and marked as lost in the register.
Return a lost asset
If a lost asset is recovered:
In the asset register you can scan or search for the asset
From the context menu click Mark as returned
The asset will be returned to the assignment pool and marked as available.
Feature availability
The Assets feature is available for sites on Medium+ plans.
