Summary
We’ve improved workflow approvals by adding support for multiple approver groups. You can now create more than one approver group, give each group its own name, its own members, and approval rules.
Multiple approver groups are available to customers on Workflows Medium+.
Existing users
This change is additive. If you previously used the built-in Workflow approvers and did not create a custom group, nothing about your current approval behavior will change. If you have no custom approver groups, the UI will show “No approver groups” — in that case all Workflows team members will continue to receive approval requests.
Creating an approver group
Go to Workflows > Choose the Workflow you will create approver groups for > Settings > Approver Groups
Click Create approver group
3. Enter a name for the group (for example: “Facilities approvers”).
4. Add members
Select one or more Workflows team members to include in this
group
5. Configure approval rules:
Require one approver — any single member of this group can approve the request
Require all approvers — every member of this group must approve.
6. Save the group
Now you can create multiple groups with different rules.
What's changed for the approver?
The approver experience is mostly the same, but the approval request now shows:
Which approver groups are required to approve the request
The current approval status for each group (Pending / Approved / Rejected).
Approvers can click into the approval details to see exactly which individual(s) in each group are still outstanding.
FAQ
Q: If one group rejects a request, what happens?
A: If any approver group rejects the response, the entire response is rejected.
Q: If I had a custom approver group before this feature, will it be migrated?
A: Your existing custom group remains as it was. The new UI simply allows you to create additional groups and configure each independently (see above).
