This article describes how to get started with Sine Checklists

Find Checklists

You can find Checklists under the Teams section of your web dashboard when logged in as a Team Administrator.

Setting up your lists.

The first step to utilising checklists, is to set up your Lists. This is where you will assign rules for how the system should behave when visitors match on a list type.

For small-plan customers, lists can only be set up with Checklist Records as a source. Lists can be set up with the action type ‘flag check-in' only.

For medium+ plan customers, lists can be set up with Checklists Records or Workflows as a source. They also have additional action types ‘block check-in' or ‘block invitation’.

By default Sine provides you two pre-made lists, Black and White. These can be edited to fit your needs or you can create a new list type. For example, you may have one list for 'Banned' visitors who should not be on-site, and another list for your VIP visitors, who should receive additional service from your staff when they check in.

To create a list, select Add List, then enter the name for that group, triggers and expected behavior.

Selecting your checklist trigger data

When you create a list, you will have the option to select as many different data triggers as you require from the following:

  • Name

  • Email

  • Phone

When a user checks in, the system will check for a match on the selected data triggers and, if found, will notify designated watchers (if applicable) and flag or block the visitor. If you have more than one checklist trigger selected, a notification will be triggered if any selected fields match.

Note, there is an additional Identifier trigger that can be set up on your account if you'd like to link a check-in form response to a Checklist. Contact support to ask about this function. Applicable to medium+ plans.

Selecting your desired outcome

There are three available outcomes

  1. Flag check-in (all plans)

  2. Block check-in (medium+ plans)

  3. Block invite (medium+ plans)

Which are based on:

  • If the record exists or

  • If the record doesn't exist

If a match is made on a list with Flag check-in the pass will be accepted however watchers will be notified.

If a match is made on a list with Block check-in the pass will be rejected and watchers will be notified.

If a match is made on a list with Block invite the invitation will be blocked. This applies for the various invitation creation methods (ics, Outlook Add-in and CSV). Note, there is some special behavior here, such as if there is an existing accepted invitation then we don't delete it.

Adding visitors to your checklist

To add someone to your checklist, navigate to the Records tab within the Checklists feature and then select Create record.

Then you can enter the details of your visitor to be added to the list.

Adding notes for a visitor on your checklist

There is also an option to include notes for a visitor on your checklist. These notes are not visible to the visitor but can be seen by your designated 'watchers' when a check-in is flagged or blocked by checklists.

Note, the system does not have any logic that informs an exact vs fuzzy match (possible future improvement). The more details you provide about a visitor will increase the chances that the system will find a match and take nominated action.

Add visitors across multiple lists

You can add the same record details across multiple lists, however it might not make sense. In the use case that you added a visitor to a block check-in list and a flag check-in list, the visitor will be blocked before a flag check-in could happen.

Configure checklist notifications

The final step is to add your Watchers. These are persons who should be informed of an action taken AT SITE. Think of watchers as people who need to be informed of activity happening at site that could be very important (maybe someone like head of security or the head of guest experience).

To add a watcher, navigate to the Watchers tab and then click Add Watcher.

In order to assign someone as a watcher, they must already be a collaborator within your Sine team. If you need to add someone who is not already a collaborator, you can read more about adding them to your team here.

Note- watchers aren’t notified of blocked invitations, which happens before a visitor comes to site. Instead, if invites fail then the invite creator is emailed a summary of who was blocked. This works across all invitation creation methods (ics, Outlook Add-in, dashboard).


Checklists is segmented into basic and advanced functionality. Basic is included on all plan types. Advanced is available on Medium + sites.

Basic includes (All plans):

  1. Checklist records

  2. Flags on check-in

  3. Notes

  4. Watchers

Advanced includes (Medium+ plans):

Currently available to customers on per request basis to beta test.

  1. Connect to Workflows as data source

  2. Block an invite

  3. Block a check-in

  4. Identifier (on-request)
